We are seeking a highly organized and detail-oriented Administrative Analyst with knowledge of or willingness to learn QuickBooks Online to join our growing team and organization. The ideal candidate will be responsible for maintaining and catching up bookkeeping for multiple companies. The ability to work independently, strong numerical skills, and a thorough understanding of business and accounting principles are essential for success in this role.  If you can demonstrate knowledge of theory learned in school, quick learning and an aptitude for technology, keep reading!

Responsibilities:

  • Provide and assist with general office administrative services and tasks;
  • Perform other administrative/clerical duties and support;
  • Assist in maintaining files in our online systems;
  • Providing administrative support the corporate and satellite offices and team members;
  • Perform all administrative duties for the office, including processing incoming and outgoing mail, entering invoices, reviewing expense reports, aiding with travel and events, ordering supplies, etc.;
  • Utilize QuickBooks Online to accurately record financial transactions, including accounts payable, and expense reports;
  • Assist team members with entering their vacation and sick leave hours in our HR system;
  •  Reconcile bank statements, credit card statements, and other financial records to ensure accuracy and completeness; and
  • Work independently to manage multiple companies' overdue bookkeeping tasks efficiently and effectively.

Qualifications:

Ideally, you are a highly motivated person, quick learner, and enjoy learning new software and technology.  We are seeking the following qualifications, the more you have, the better:

  • Proficiency in QuickBooks Online;
  • Understanding of accounting principles, financial processes, and procedures.
  • Experience with basic bookkeeping, accounts payable and expense reporting, preferably with a focus on catching up on overdue bookkeeping;
  • Analytical skills with a keen eye for detail and accuracy;
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively;
  • Self-motivated and capable of working independently to meet deadlines;
  • Strong communication skills, both written and verbal;
  • Understanding or experience with multi-company bookkeeping;
  • Strong interest or experience with financial services and insurance; and
  • Professional appearance and decorum.
